1.1 Making a phone call 1

Do you need to speak in English on the telephone? Find out how to make a simple phone call in English. This class has simple examples and audio files.

Welcome to the first class in our course on English for the Telephone.

Do you have to telephone a client in the United States, Britain or Canada? In this class we will learn how to speak in English on the telephone and we will learn how to make a simple phone call

This class looks at the phrases we need when we call somebody. If you receive phone calls in English then you need to look at our class on answering the phone in English.

What we are going to learn...

In this class of Telephone English we will learn how to do the following tasks:

  1. Say hello.
  2. Introduce ourselves in a professional way.
  3. Introduce our company or organisation.
  4. Give the reason why we are phoning.
  5. Ask to speak to a specific person or department.

1. Say Hello!

This part is easy! First we need to say hello:

Hello Normal/Formal
Hi Informal
Good morning Before 12:00
Good afternoon From 12:00 to 18:00/19:00
Good evening From 18:00/19:00

2. Introduce ourselves

It is polite to introduce ourselves at the beginning of the phone conversation. When we give our name by phone we do not use "I am". Here are the correct phrases for giving your name by phone:

It's John All situations
This is John All situations

I'm / I am

On the phone we do not normally give our name using "I am"

  • Incorrect: I am John / I'm John
  • Correct: This is John / It's John

3. Introduce our company or organisation

We should give the name of our company when we introduce ourselves:

It's John from Spencers
This is John from Spencers

Our department or office

You can also give the name of your department or the location of your office:

  • Hello, this is John from the Madrid office.
  • Hi, it's Paul from the office in Barcelona.
  • Good morning, this is James from the Finance department.*
  • Hi, this is David from the Marketing department.*

*Here is an infomal alternative:

  • Good morning, this is James from Finance.
  • Hi, this is David from Marketing.

4. Why are we phoning?

Now comes the difficult part! We need to say why we are phoning. We have many different options at this stage. However, it is a good idea to use one of the following sentence forms:

  • I'm phoning to + VERB (infinitive)
  • I'd like to + VERB (infinitive)

For example:

  • I'm phoning to reserve a room for tomorrow night.
  • I'd like to order some printers and keyboards.

I'd like to...

This form can be used in many different situations:

  • I'd like to order a taxi.
  • I'd like to reserve a room.
  • I'd like to make a complaint.
  • I'd like to find out more information about the conference.

We could also use the long version of these sentences:

  • I would like to order a taxi.
  • I would like to reserve a room.

I'm phoning about...

This form can also be used to explain the reason why we are calling:

  • I'm phoning about the conference in Barcelona.
  • I'm phoning about the vacancy for a sales assistant in your Manchester shop.

5. Ask to speak to someone

There are two options which you will use a lot when we want to speak to someone in particular:

  1. Could I speak to..
  2. Could you put me through to....

Let's look at both of these forms:

a) Could I speak to...

If we want to speak to someone in particular we say:

  • Could I speak to...

or

  • Could I speak with...

For example:

  • Could I speak to Sarah Jones?
  • Could I speak to someone in the Marketing department?
  • Could I speak with the director of the Finance department, please?

We could use 'can' instead of 'could' in any of these questions. For example:

  • Can I speak to someone in the Marketing department, please?

You should always try to be polite, so remember to use 'please' and 'thank you'.

b) Could you put me through to...

If we are speaking with the receptionist of the company we normally use:

  • Could you put me through to...

For example:

  • Could you put me through to John's secretary, please?
  • Could you put me through to Sarah Smith, please?

Example telephone conversations

Here are some simple telephone conversations in English for you to listen to:

Conversation one

  • Good morning, Chives Ltd.
  • Good morning. This is Alex from Spices United. Could I speak to Sam Smith in the Finance department?
  • Yes of course, I'll put you through now.
  • Thank you

Conversation two

  • Good afternoon, TechLine, Sam speaking.
  • Hi, This is Alex Bartlett from Spices United. Could I speak to someone in the Marketing department, please?
  • Of course Alex. I'll put you through to Mike Jones, the Marketing director.
  • Thank you.

Conversation three

  • Good afternoon, Grand Hotel, Brighton
  • Hi, This is Paul Jones from Luxury Travel. I'd like to reserve some rooms, please.
  • Certainly Paul, I'll put you through to our reservations department.
  • Thank you.
