1: hi guys welcome to this series of videos on how to write emails in English now in this

9: first video we're going to look at something that's very important in many jobs and that is

15: how to write an email to introduce ourselves and our company uh probably we're sending the email

22: to someone that we don't know and we want to say who we are and uh what our company does normally

30: it's when we're we're looking for business for suppliers or for um manufacturers someone who we

39: want to do business with something that's very common I know in both sales and marketing jobs

47: in this video we'll break it down we'll break the email down we'll look at it in five stages

53: that's something that I recommend in general when you write emails and I will leave the email that

59: we're going to write right and lots of other model emails and lots of other advice in the

65: class which accompanies this video and I'll leave a link below the video okay so let's get

71: going now the first thing we want to do is to give our name and to give also our title and the name

85: of our company when we give our name normally in an email well it sounds much better to use my name

92: is so for example we might say my name is David Smith and I'm the managing director

101: of Smith toys or in my case my name is Chris bartler and I am a teacher at business English

109: 23 okay so in our example email we are a sales director at a company which manufactures toys

126: okay and that's what we're going to put in our first line we're going to introduce ourselves so

132: my name is James Smith and I am the sales director of toys for all Full Stop we've started the email

141: with dear dear John Deer is quite formal if you want to if you want to be more informal

148: you can uh start with hello if you want to be very very very formal well use the the surname

157: of the person Dear Mr Smith Dear Mr Jones we've finished the email with best regards which is

165: quite formal as well okay to be more formal we would use yours sincerely okay your sincerely

174: so there's the start of our email Dear John my name is Jane Smith and I am the the sales

180: director of toys for all best regards James now that's clearly not an email that we can

187: actually use so let's go on to stage two and look at how to give more information about our

195: company now in English when we talk about a company we often use the first person plural

206: because we see a company or another organization as a group of people so giving more information

213: about the company we'll use we are we are so for example we might say um we are software

221: developers we are a design agency which maybe sounds a bit strange but that's what we would

227: say we are a design agency okay so let's head back to our email we've already started the email my

237: name is James Smith and I am the sales director of toys for all and now we give the information

243: about our company we are manufacturers of educational toys I often like to give a

250: little bit more information and people often want to know where we're from so let's change

257: that line a little bit we are manufacturers of educational toys and are based in Glasgow

264: Scotland okay so that's the easy part out of the way the first few stages are quite easy now comes

274: the more difficult thing and what we normally do at this date is say why we are sending the

280: email okay so now comes one of the most critical parts of the email and we need to say why we are

296: writing what's the reason why we've decided to send this email and let's look at some

302: examples we are looking for a web design agency in Poland we are interested in selling our toys

310: on your online e-commerce platform obviously what you WR here is going to depend on what

317: you do so I I've left a lot more examples in the class that accompanies this um video so

325: coming back to our email Dear John my name is James Smith and I'm the sales director of toys

330: for all we are manufacturers of educational toys and are based in Glasgow Scotland now

336: comes one of the two critical phrases toys for all are currently looking for distributors in

343: Spain and your company has been recommended to us in these emails it's always a good idea to talk

354: positively about the other person's organization okay so um that's why I've put here your company

361: has been recommended to us okay just to say something positive about the the other person's

368: company okay and now the final part of the email what we always have to do in these type of emails

381: is to propose something um we don't write an email because ah well we just felt like writing

387: an email we write an email because we want to sell something or we want to work with someone or we

395: want to buy a service uh and so we're going to put that in the last line and as I said the last line

401: is quite critical now when we propose something in English we normally use would you would

409: you so if we are for example manufacturers we might say would you be interested in receiving

421: our latest product catalog if we're web designers web developers we might propose

429: uh an evaluation so we might say would you be interested in a free evaluation of your

435: website now clearly this line is going to depend on exactly what you

443: do um but I would recommend using this format would you uh one very

449: very common thing that we propose is to propose a meeting either virtually or

455: by telephone or in person and that's what we're going to do in our email

461: now okay so I've started the email as normal blah blah blah blah we've introduced ourselves

469: we've said why we are writing and now comes the critical part we're going to propose a

475: meeting and for that I'm going to say would you be willing to meet our managing director to discuss

482: a possible collaboration there's lots of ways of saying that last line um but this is personally

489: the one that I would choose there's many other examples which I'll leave in the the text that

495: accompanies this class okay so we finished our email uh and we finished the the class I hope

Introducing ourselves by email

How to introduce ourselves by email. When we write to somebody who we do not know we must present ourselves politely and effectively. It can often make the difference between success and failure!

The format of a 'presentation' email

In this class we are going to see how to write an effective email to present ourselves and our company.  Our email will have FOUR parts

  1. Present ourselves (name, job title)
  2. Present our company
  3. Say WHY we are sending the email
  4. Ask for a meeting or telephone call

In BE23 we always recommend that you keep your emails short and simple. So, let's write our email step by step:

1. Present ourselves

We will use 'my name is' to give our name. Then we will give our job title. This part is very easy!

Dear John

My name is James Smith and I am the Sales Director of Toys-4-All.

James Smith
Sales Director, Toys-4-All

If we want to send an email which is more informal, we can start with 'Hello John', 'Good morning/afternoon John' or even 'Hi John'. Check out our first class for more information on basic email structure. Now let's see some other phrases for introducing ourselves:

  • My name is Sarah Smith and I am the head of Human Resources at Pear Two Computers.
  • My name John Brown and I am the CFO* of GoTech.com.
  • My name is Brian Sampson and I'm a customer assistant at Big Tech Helpers. 

*CFO = Chief Financial Officer

 

2. Introduce our company

Let's give a short introduction to our company. One or two lines is usually enough! Don't make it too complicated.

Dear John,

My name is James Smith and I am the Sales Director of Toys-4-All. We are manufacturers of educational toys.

...

Best regards,

James Smith

Sales Director, Toys-4-All

Here are typical examples of introducing businesses:

  • We are the largest toy distributors in North America.
  • We are suppliers of construction materials.
  • We* make printed circuit boards for major computer manufacturers.
  • We produce sustainable packaging materials for the food industry.
  • We are industrial architects who specialise in complex chemical processing installations. 

*When native people talk about their companies they often use 'we', even though a company is singular. It sounds more friendly!

Let's add some more information about our company. In this case we will say where the company is from:

Dear John,

My name is James Smith and I am Sales Director of Toys-4-All. We are manufacturers of educational toys and are based in Glasgow, Scotland.

Best regards,

James Smith

Sales Director, Toys-4-All

 

3. Why are we sending this email?

This is a very important part of the email! You need to be communicate your reasons simply and clearly. 

Hi John,

My name is James Smith and I am Sales Director of Toys-4-All. We are manufacturers of educational toys and are based in Glasgow, Scotland. Toys-4-All are currently looking for distributors in Spain, and your company has been recommended to us.

Best regards,

James Smith

Sales Director, Toys-4-All

Is this a realistic email? Not really! We need a call-to-action, a sentence where we propose something to the other person.

4. Propose action

If you work in sales or marketing I'm sure you will be used to writing this type of email. Here is an email which proposes setting up a meeting:

Hi John,

My name is James Smith and I am Sales Director of Toys-4-All. We are manufacturers of educational toys, and are based in Glasgow, Scotland. Toys-4-All are currently looking for distributors in Spain, and your company has been recommended to us.

Would you be willing to meet our Managing Director to discuss a possible collaboration?

Best Regards,

James Smith

Sales Director, Toys-4-All

5. Let's finish well

We shouldn't forget to finish the email politely:

Hi John,

My name is James Smith and I am Sales Director of Toys-4-All. We are manufacturers of educational toys, and are based in Glasgow, Scotland. Toys-4-All are currently looking for distributors in Spain, and your company has been recommended to us.

Would you be willing to meet our Managing Director to discuss possible collaboration?   

If you have any questions at all, please don't hesitate to contact me via email or telephone (my mobile is +44 123 456 789)

Writing convincing emails in English

I hope you have found this class useful.  By breaking the email down into 5 parts it becomes much easier to write. You don't need to be a fluent English speaker or the world's best communicator. A short, clear email is much more effective than a longer 'sophisticated' email. Don't try to be too clever in these type of emails.  Good luck!
